OUR TEAM

We’re growing in Poland with a brand-new team hub in Wrocław. As we build our local community, we’re searching for top talent and industry experts to join the journey. If you want to help build a mission-critical organisation at an impressive scale, join us! You will be part of our growing Finance team, which keeps the financial operations of our Polish entities running smoothly and in line with group standards. Locally in Wrocław, you will report directly to the Finance Director and work closely with our external accounting provider to build the finance processes and day-to-day operations of our new and growing Wrocław office. Our Polish entities are part of an international group, with the parent company and group consolidation based in the UK.

ABOUT THE ROLE

The Finance Operations Manager owns the operational finance processes in Poland end to end: order-to-cash (billing, invoicing and collections), source-to-pay (procurement, vendor management and payables), and expenses and corporate cards. As one of the first hires in the finance team, reporting directly to the Finance Director, you will manage processes rather than people at the start. You will design, build and implement processes and policies from the ground up, work closely with the Financial Controller and our external accounting provider (bookkeeping is fully outsourced), and take on new responsibilities as the business grows. This is a local role in Poland with regular collaboration with the UK group finance team, in particular on harmonising finance policies, procedures and standards across the group. It suits someone who is flexible, comfortable with changing priorities and enjoys shaping how a finance function works, not just running it.

Key Responsibilities

  • Order-to-Cash (O2C) - own the end-to-end billing and invoicing process (incl. KSeF), credit control, collections, AR ageing and dispute resolution. Support with the data for revenue recognition (IFRS 15) and ECL assessment
  • Source-to-Pay (S2P) & Procurement - own the full S2P cycle: from purchase requisition to payment. Manage procurement policy, approval workflows, vendor onboarding and due diligence (incl. VAT whitelist). Monitor supplier performance and contract compliance alongside the business
  • Accounts Payable & Payments - run AP end to end: invoice receipt, PO matching, coding, approval and payment runs (dual-approval). Apply split payment rules, collect WHT documentation, monitor payment terms in line with EU and Polish regulations, and verify payroll before salary release
  • Expenses, Travel & Corporate Cards - own the expense and travel policy. Manage the corporate card programme (issuance, limits, reconciliation) and verify business travel expense reports and related costs
  • Cash Flow & Working Capital - prepare and maintain a 12-week cash flow forecast. Monitor and report working capital KPIs (DSO, DPO, overdue balances) to the Finance Director
  • Collaboration & Process Improvement - coordinate day-to-day with the external accounting provider on document flow and month-end close inputs. Work with UK group finance to align operational policies. Drive O2C and S2P optimisation, including automation and AI tools

YOU'RE A PERFECT MATCH IF YOU HAVE

  • 5–7+ years of experience in finance operations, shared services, AP/AR or procurement; team leadership experience is a plus
  • Hands-on experience running O2C and P2P/S2P processes end to end
  • Proven experience building finance processes and policies from scratch or redesigning them (e.g. procurement, approval workflows, expense and payment policies)
  • Practical knowledge of Polish regulations: VAT, KSeF, split payment, VAT whitelist, WHT on payments to foreign entities, and Late Payment rules
  • Experience working with external accounting providers
  • Experience with ERP systems and procurement or expense tools
  • Advanced MS Excel
  • Process-improvement mindset
  • Comfortable exploring and implementing AI and automation in finance
  • Fluent Polish and business English (C1)
